The Benefits of Online Faxing You Probably Don't Know About

Okay, so you need to send a draft of a PowerPoint presentation to your new field salespeople, but they have not installed their Office software yet and only have e-mail and Internet Explorer on their personal laptops. How can you possibly show them what you are working on in this situation? What newer-than-new, super futuristic piece of hardware or software is on deck to solve this problem for you?

A fax.

You read that right. It is not anything brand new, but faxing has changed now that it has reached the Internet. In fact, the best Internet faxing technology has filters that will read all kinds of files that you attach to your fax, which you do from within your e-mail program or webmail. In this case, you would send an online fax specifically to take advantage of its ability to read the PowerPoint file and deliver it to either another online fax number, or a standalone fax machine. Either way, it will be in a format that can be viewed on screen and/or printed out, or that will output from your machine. Problem solved.

Amazing flexibility

Many people do not know that online faxing works this way. There is a great deal of confusion about what you can and cannot do with Internet faxing, much of it stirred up by those with vested interests in older technology. In addition, some low-end Internet fax providers want to bring the better firms down to their level, and misrepresent what the technology can do. It is important to get the facts and become aware of the benefits of online faxing you probably do not know about. The situation described above brings up a very important point, the fact that you can attach files from a wide range of software programs, and the recipient does not need these programs to view the fax. This is extremely handy.

Remember, not all online fax services are the same. You should ensure that any ones you are considering can handle all the file types you commonly work with. A good service will allow you to create a cover page by typing text into the message field of your outgoing e-mail, or skip the cover page by typing nothing. Then it is simply a matter of attaching your file, which will be converted during the faxing process into pages that can be viewed/printed on a computer or output from a fax machine.

Broad file support

As far as word processing, top services are able to convert and present Microsoft Word files (doc, docx), WordPerfect (wpd), Rich Text Format (rtf, rtfd), Microsoft Write (wri) and plain text (txt). These represent a substantial majority of all business users. Oh, and all of the following and foregoing should apply to Macintoshes, too, if you are dealing with a first-rate service.

Your top services will also be able to convert and present files from Microsoft Excel files (xls, xlsx), PowerPoint (ppt, pptx), Microsoft Publisher (pub), Microsoft Visio (vsd) and HyperText Markup Language (htm, html). Even better, these first-tier fax services let you attach a wide range of image files, created by a huge assortment of programs from PrintShop to Photoshop. This includes all versions of Windows Bitmap files (bmp), the Compuserve Graphics Interchange Format (gif), Joint Photographers Expert Group (jpg, jpeg), Portable Network Graphics (png), Tagged Image File Format (tif, tiff) and Microsoft Office Document Imaging (mdi). You should also be able to attach any Adobe Portable Document Format file (pdf), and files saved as Adobe PostScript (ps, eps) from various applications.

Other benefits

Many people are surprised when they find out how very flexible and powerful the best online fax services are. Still, people are unaware or insufficiently impressed of other benefits. The fact you can send, receive, store, print, forward or delete faxes from within your e-mail account is a real time-saver, and it saves paper, too (saving a tree, or a few of them). Because it is based in e-mail, you can access your service and have total fax capability wherever in the world you happen to be, as long as you have a computer and an Internet connection.

The low monthly charges for the top services will seem even lower when you consider how much time and money you save you on fax machine supplies, long-distance bills and extra dedicated phone lines. Your convenience factor is off the charts, since you need no additional special software, hardware, modems or machines. You already have all you need with a computer and an Internet connection. Even more, it is an "always on" service that operates 24/7/365, whether your computer is on or not. You will not miss any faxes if the power goes out.

Bottom line

Convenience, low cost, flexibility, ease of use and efficiency are great selling points for online fax companies, and many firms make similar promises. As we said at the outset, the ones that really deliver on the promise are those that make it possible for you to send Excel documents to people who do not have Excel, and do it from an Internet café in another country. These are some benefits you really should know about, and now you do!

How do i set up our fax machine to our network?

We have a very small office and have a Kyocera KM-2560 printer/fax/scanner.
The printer has been set up already top the network.
I need the scanner and fax connected.

Is there a way in which i can have the incoming faxes go to Microsoft Outlook on one of the pc's??

Any help, ideas or links would be appreciatedl.

Thank you.

Check the software to see if you can see the inbox for the faxes.

Most corporate faxes like this don't allow delivery to Outlook. For that you will need some kind of fax server or to have a computer as the fax to send faxes to outlook.

Optimization techniques at managing faxes for small and medium business

Small and medium business from health, legal, financial services, logistics or transportation receive a big number of faxes everyday. As with all SMBs, any of these received faxes can be crucial for their business.

Normally there is one allocated person/ employee in charge or receiving, registering, storing and assuring a back-up for the received faxes. In case these faxes are received via a regular fax machine, there are a couple of problems that this person might encounter:

  • the fax machine is down and no fax is being received for the next couple of hours
  • Received documents have to be tagged, stored and a back-up for these documents has to be assured. While this is a  time consuming task in case the faxes are received on paper and need to be stored in paper based format, it can be totally inefficient if these faxes are to be stored in an electronic environment (for different purposes: collaboration, back-up etc)

While the receiving-tagging-storing-backup process is usually time consuming, the allocated time and costs can be drastically reduced together with improving security and backup flaws that normal fax machines trigger.

One way to improve the above described situations is to use Visendo Fax@Mail. It has been a real success in the past 5 years because it transforms the above described situations in short and easy to deploy processes. Together with the new version – Fax@Mail 10, released in June 2010, it goes even further in terms of process optimization: multiple ISDN channels, runs as a service, better graphic evaluation, supports virtual environments and other important features.

Further, we will talk about 5 essential points to optimize the discussed fax-receiving-storing-back-up process.

  1. Improve employee productivity by decreasing the time spent and the complexity of her individual tasks (concerning the fax receiving process)
  2. Overcoming temporary or permanent failure of fax machines
  3. Energy savings and virtualization
  4. Minimum IT resources needed: no SMTP servers to send and receive the emails that have the faxes attached
  5. Using the application as a service: manage everything online

Let's discuss these 5 techniques in detail while keeping an eye on what interests us the most: process optimization.

1. Improve employee productivity

The first aspect to be taken into account is the productivity of the allocated employee that manages the received faxes through the entire process of receiving, indexing, storing and assuring a back-up.

While this is normally time consuming and prone to fallouts  (more and more people complain that their faxing machine is "down"), it is an essential task that needs to be done with an eye on details, especially in cases of legal, financial and health organizations.

Basically, when the fax is being received in the inbox, it can easily be indexed and stored while a back-up is automatically being stored on your server (local machine). This could save up to 80% of the time spent at receiving faxes on paper, scanning them, storing and indexing them by hand.

2. "My fax machine is dead; how can I further receive my faxes?"
While this happens vey often, for many companies a lost or misplaced fax because of technical problems of the fax machine can be a lost customer. And for SMBs, a customer can make the difference between a positive cash flow and a negative one.

With Visendo fax@Mail, even if the faxing machine is down, the faxes can still be received by email, hence saving valuable time and prospective customers.

3. Save energy and be green while integrating fax@Mail 10 with you virtual environment

Fax@Mail 10 can easily be integrated with virtual environments and FoIP applications, hence saving energy and assuring a green mark. This comes along with the entire green IT hype that suggests that companies should spare more and more resources while being as efficient as possible.

4. No SMTP servers required.

Normally for a Fax to be sent to your inbox, a request by a SMTP server has to be made. While SMTP servers are slowly being replaced by more modern technologies and while they are still expensive applications (e.g. Microsoft Exchange) that small companies can't afford, fax@Mail 10 can manage the faxes by direct MX sending. This ensures cost savings and flexibility  - the system can be configured for SMTP servers as well.

5. Fax@Mail 10 can now be used as a service.

This has been required by many customers and testers. It is simply the trend and people are starting the see this as a more flexible and easy to use possibility. Any small company will be able to use its fax@Mail 10 online, from the internet browser.

Of course, there are more features that can improve processes and help SMB overcome the difficulties of receiving important faxes: accessible price, support for Microsoft Office applications etc.

In conclusion, in order to optimize the fax-receiving-tagging-storing-back-up process, bearing in mind the importance of individual faxes for small and medium business, SMBs need to find ways to: improve the allocated employee's productivity, to overcome the situations when fax machines are down, to reduce costs by energy savings and to be able to run all this service online with out any auxiliary expensive software (like SMTP clients).
