Microsoft Access in Today's Business
I have designed databases and custom scripts in Microsoft Access to carry-out a wide-range of different functions to meet business requirements from small mom and pop companies to large international corporations. The applications that I have designed throughout my career involved everything from pulling specific data from world-wide ERP systems to enable users to perform targeted analysis to creating an all-in-one business solution that integrated the entire Microsoft Office Suite and could perform functions that would typically hours to perform in seconds with the simple click of a button.
Microsoft Access is a very cost-effective tool that integrates perfectly with the most popular office software in the world (Microsoft Office). Programs can be integrated effectively and flawlessly with such applications as Excel for charts, pivot tables and graphs, Word for mail merges and labels, Outlook for automated e-mails, PowerPoint for automated presentations etc.
I presently have started my own company (Data Gopher), which can be found at http://www.datagopher.net. My company does provide a number of cost-effective business solutions through the use of Microsoft Access. MS Access is more than just a stand-alone database application, which it is arguably mostly known for, it offers a wealth of data functions. One of the greatest assets that I have utilized it for throughout my career has been extracting data from ERP systems to give users the flexibility to produce their own reports and pinpoint the exact datasets that they need. Operations such as this can save a company 10s of thousands of dollars from eliminating the need of having an upgrade performed on an ERP system and paying the additional support fees.
The thing that I have learned from my experience as a Microsoft Access developer is that when it comes to data related operations, there is very little that Microsoft Access is incapable of doing. Access offers a wealth of power when it comes to a company's business requirements. The capabilities of Microsoft Access are overlooked many times and more expensive technologies are used instead. These more expensive technologies typically cost a substantial amount of money whenever upgrades and enhancements are needed. The big benefit of having a Microsoft Access application is that enhancements are generally very cost-effective and less time-consuming to perform.
If your company is in the process of looking at different technologies to perform various data functions whether it is data extraction, data marts, custom reports etc. consider Microsoft Access as a realistic solution. It is an application that is self-contained, integrates well with Oracle, SQL. . Net, MS Office and other applications, it also does not require any type of monthly service fees. It additionally integrated flawlessly with the most popular office suite in the world. A complete business solution that entails data analysis, mailing lists, Power Point Presentations, charts and graphs etc. can be developed with Microsoft Access that is not only cost effective but offers powerful customized solutions for today's business.

Updating a Microsoft Access table with records from another?
I have two tables in an Access data base.
Table1has two text fields: Song1 and Contain. Table2 has two text fields: Song2 and Rank.
I need a query that will look through all the rows in Song1 in Table1, and see if they are included in Song2 in Table2. If they are, the Rank associated with Song2 in Table2 should be written in Contain in Table1.

I discovered a little wrinkle in my tables, though. The Song2 table contains dublicates -- nothing to be done about that. But when the query updates the Contain field, it seems to be using the Rank associated with the last instance of the relevant entry in Song2. It's very important that it use the first instance. Any ideas on how to force Access to do that?
Need to create a query using the two tables. Create an inner join between the two tables in the query by clicking and dragging Song1 field to Song2 field in design view. This basically states to join the tables where the two fields are equal. Change the query to an update query. Then select the table with the contain field to be updated. Drag the contain field down to the output fields. Then in the update to portion, use the expression builder to pull in the Rank field from the Table 2 or use the correct syntax to put it directly into the Update To row. Run the query and it will update only the rows where the two fields are equal with the rank in the contain field. Everything is completed in design view of the new query.

Here are a few tips and tricks that I have found helpful when working with tables in Microsoft Access. Not all tips apply to all versions of Access.
Zoom
Click into the cell that you want to enter the data and press SHIFT F2
Shortcuts for date and time
Current date CTRL; Current time CTRL:
Right-align Text in a Table
Type * in the Format Property for that field.
Carry Data Forward From One Record to the Next
In the field that you want to copy the entry from the previous record in type CTRL’
Updating a Table with Information from Another Table
To update data in an existing field – eg a new telephone list:
1. Create an Update query and link the two tables with a one-to-one relationship
2. Add the field from your original table that needs to be updated
3. In the Update to row enter the following
[New Table Name].[New Field Name]
4. Run the query
To update a table with an entirely new field:
1. Create a Make Table query including the field from the table that includes the new data
2. Run the query
3. Delete the original table and the table that held the new data
4. Rename the table that was created with the Make Table query so that is replaces the original table.
Sorting Multiple Columns in a Table
1. Re-order the fields that you want to sort on so that they are adjacent to each other and in the order you want to sort by (left to right).
2. Highlight the fields that you want to sort by
3. Use the sort buttons on the toolbar

Use an advanced filter.
Hide a Table
The table’s name must start with Usys To view the table again: Tools | Options [View] System Objects
Copy a table between databases
Normal copy and paste – then have the option to paste structure and data, just structure or append data to an existing table.
Custom Number Formats
Four parts to the format, separated by semicolons.
1st – positive number format
2nd – negative number format
3rd – zero value format (information does not apply)
4th – null field format (information unknown, but may apply)
