Flowcharts - What are they and how to use them

Many of us use flow charts in daily work - in fact the creation and implementation a flowchart is one of the most common in business today. But what we mean by a flowchart, and what it is supposed to do?

Well, flowcharts can be used to analyze, design, document or manage a process in a wide variety of fields. Examples could include a recruitment or accounting, the logical procedure in a piece of software or process in an organization such as Health and Safety, Equal Opportunities, Conciliation and Arbitration or Social Services. A flow chart could be defined as a representation painting of a process in which steps are symbolized by the forms - that is, a diagram that explains the steps in a procedure. Each form must be linked to its neighbor by a line connection, and often they have arrowheads to describe the direction of flow.

Each flowchart should ideally begin with a Terminator form, which should be the next step linked. Each form must be indicative of a specific stage in the process and there are conventions for each of them, the most common is the "Action" form. Many others are rectangular, however, including forms that represent data, documents and decisions. Decision forms are diamonds, each of the four corners (or nodes) that is a link to the previous form or measures to be taken in the next phase based on the decision.

Flow charts can be created rapidly in many computer software programs, and even the latest versions of Microsoft Word and PowerPoint contains intelligent forms that allow users to quickly insert a flowchart in a presentation document. Specialist Flow Chart Diagramming software also exists, but for versatility and ability to connect data the ways I put my money on Microsoft Visio. What's new with the Big Four?

The four main Microsoft Office applications - Word 2010, Excel 2010, PowerPoint 2010 and Outlook 2010 - all have With dramatic gains in their versions of Office 2007.

There are two ways to buy retail each edition of Office: Product Key and complete cards boxed versions. Although Office 2010 fixes the vast majority of complaints surrounding Office 2007 - including some errors in Excel and the macro counter-intuitiveness of the tape - it holds little appeal for those of you happy with Office 2003. If you are committed to the purchase of a new version of Office, then Office 2010 is undoubtedly the best option. If they are not covered by your current productivity suite, Office 2010 offers little reason to buy.
